Mechanical KPI Dashboard

Overview

The Mechanical KPI Dashboard is exclusive to HVAC, plumbing, and electrical business owners and provides a single view of how their business is performing, with no setup required. It pulls together your Jobs, Estimates, Payments, and memberships so you can answer "how am I doing?" at a glance.


How to Access the Dashboard

  • Click Reporting in the left navigation bar.

  • Select Business Insights from the dropdown menu.

  • The dashboard loads with your current month's data by default.


Changing the date range

  • Use the date filter at the top of the dashboard to select your time period.

  • Options include Month to date, Quarter to date, Year to date, and Last 30 days.

  • All cards and charts update automatically when you change the date range.

  • Most metrics show a year-over-year comparison badge so you can see if you're trending up or down from the same period last year.


Revenue Overview

At the top of the dashboard, two charts give you a quick read on revenue:

  • Revenue vs. goal — a progress chart showing how much of your annual revenue goal you've hit so far. If you haven't set a goal yet, you'll see a prompt to add one.

  • Revenue trend — a 12-month chart comparing this year's revenue to last year's month by month


Revenue Metrics

Four cards break down the details of your revenue:

  • Completed revenue — total revenue from completed jobs in the selected period. Excludes canceled jobs and refunds.

  • Collected — payments actually collected, broken down by payment type (credit card, check, cash, financing). Includes partial payments on open invoices.

  • Average ticket — completed revenue divided by the number of completed jobs.

  • Open invoices — unpaid or partially paid invoices, grouped by how long they've been outstanding: Not yet due, 1–30 days, 31–60 days, 60+ days.

💡 Click the info icon on any card to see exactly how the metric is calculated and what's included or excluded.


Work Metrics

Four cards show the health of your job pipeline:

  • Estimates sent — total estimates sent in the period (approved + pending + declined)

  • Close rate — percentage of sent estimates that were approved by the customer.

  • Booked jobs — jobs booked from estimates, broken down by lead source (Google, Yelp, repeat customer, referral, other)

  • Repeat business — percentage of your total revenue that came from customers who have had 2 or more completed jobs.


Tech Leaderboard

The Tech Leaderboard ranks your technicians by performance — revenue, job count, average ticket, conversion rate, and customer rating — in a single sortable table.

📌 Note: The Tech Leaderboard requires an Essentials or MAX plan. If your plan doesn't include it, you'll see an option to upgrade.


Memberships

If you offer service plans, this section tracks your recurring revenue:

  • Active memberships — total active service plans, broken down by trade (HVAC, plumbing, electrical)

  • Recurring revenue — monthly recurring revenue from all active plans (annual plans are prorated to a monthly equivalent)

  • New this month — new plans sold minus cancellations, showing net membership growth

  • Retention rate — percentage of memberships that were active at the start of the month and are still active

  • Upcoming renewals — memberships renewing in the next 30 days, broken down by: next 7 days, 8–14 days, and 15–30 days, with the associated revenue for each window
