Global Search Overview
Housecall Pro's Global Search makes it faster and easier to find the information you need, whether you're looking for a customer, job, estimate, invoice, or piece of equipment. This guide walks you through how to use the main search bar and what types of results you can expect.
Main Search Bar
Global Search helps you quickly find customers, jobs, invoices, estimates, and equipment, all from the search bar in the top navigation bar.
When you start typing, a search preview appears showing matching results grouped by category. Click any result to open it directly.
How Search Results Work
The search preview shows up to 5 results per category (Customers, Jobs, Invoices, etc.). Within each category, we surface what we think you're most likely looking for, generally prioritizing more recent and more relevant matches.
If you don't see what you're looking for, click "Search all [record type]" at the bottom of any section to view the full list.
What You Can Search For
Not all record types work the same way in search. Here's what to expect.
Customers
You can search by:
Customer name
Phone number
Email address
Address (up to 20 addresses per customer)
When you search for a customer, results will also include their recent jobs, estimates, invoices, and equipment to help you quickly access related records.
Jobs
You can search by:
Job name or job number
Service address
Job notes
Line item name or description
Customer name
Invoice number (finds the job associated with that invoice)
This means you can find jobs using real-world details, like a service address or a keyword from your notes, without needing to remember the exact job number.
Invoices, Estimates & Equipment
These record types appear in search results when:
You search by their number directly — For example, searching "1234" will find Invoice #1234 or Estimate #1234.
They're associated with a customer you searched — When you search for a customer by name, phone, email, or address, the preview will also show related records for that customer. For estimates, this includes records from the past 30 days. For invoices and equipment, older records may also appear.
You cannot yet search invoices, estimates, or equipment by other fields like line items, notes, or amounts. To find these records, either search by their number or search for the associated customer first.
We're actively working to bring richer search capabilities, like searching by additional fields, to more record types. Stay tuned for updates!
Example Searches
What You Type | What You’ll Find |
Katie Smith | The customer profile for Katie Smith, plus her recent jobs, estimates, invoices, and equipment. |
123 Main Street | Customers with this address and jobs at that service address. |
Water heater repair | Jobs with "water heater repair" in the job name, notes, or line items. |
1087 | Invoice #1087, Estimate #1087, or a job linked to that invoice number. |
Tips If You Can't Find Something
Broaden your search — Remove punctuation or try a different field (like address instead of name).
Search the customer first — Estimates, invoices, and equipment are easiest to find through the associated customer. Search for the customer name, then use the customer profile to locate related records.
Check spelling — Some searches require close matches.
Use "Search All" — Click this option to see all results in that category, not just the top 5.
