What are fuel controls?

Fuel Controls are a feature of our physical Expense Cards that allow you to restrict purchases to fuel-only transactions. With fuel controls, you can:

  • Set spending limits.

  • Restrict purchases to gas stations.

  • Monitor transactions in real time.

This feature ensures you stay in control and your team stays on track while making on-the-job purchases. Plus, you can order as many cards as you need—at no extra cost!


What is the difference between Expense Cards and fuel controls?

Fuel controls are an advanced feature of our Expense Cards, designed to enhance security by restricting purchases to fuel-only transactions.


Can I use existing Housecall Pro Expense Cards with fuel controls?

Yes! You can apply fuel controls to existing Expense Cards by updating your card settings.


How do I order an Expense card for fuel?

To order your first Expense Card, you must first enroll in Expense Management. Don’t worry, it’s free! Learn how to get started here.

To order your first Expense Card with fuel-only restrictions:

  • Go to My money in the top navigation bar of your Housecall Pro account.

  • Select Expenses > Expense Cards from the left menu.

  • Click the Add card button in the top right corner of the Expense Cards page.

  • Select Physical Card.

  • Use the Cardholder drop-down to select the team member you would like to order the card for.

  • You can use the Spending limit drop-down and Amount field to set a spending limit for the Expense Card (optional).

  • Restrict the card to fuel-only purchases by enabling the Fuel purchases only option. The toggle will turn blue when enabled, and gray when disabled.

  • Repeat the process if you are ordering more than one card (you can order multiple cards within the same order!)

  • The Send to business address checkbox will be selected automatically. To send the Expense Card(s) to a different address, uncheck the box and enter another shipping address.

  • Click the Order card button to confirm, and your card(s) will be shipped to the address provided, usually within 5-7 business days.


How do I change the settings of my cards?

To apply fuel controls to an existing Expense Card:

  • Go to My money in the top navigation bar of your Housecall Pro account.

  • Select Expenses > Expense Cards from the left menu.

  • Click the More icon (three dots) next to the card you want to update.

  • Select Manage Card from the options.

  • Click the toggle next to Fuel purchases only. The toggle will turn blue when enabled and gray when disabled.

  • Save your changes! The card will now be restricted to fuel-only purchases.


Are Fuel Controls available for my Virtual Expense Cards?

Not yet. Currently, fuel controls are available only for physical Expense Cards.


What types of purchases can be made with a fuel-only Expense Card?

Fuel controls limit Expense Card purchases to gas stations only. Cardholders can use Expense Cards with fuel restrictions to purchase both at the gas pump and inside the gas station.
