Overview

Using Housecall Pro to process payments requires keeping your tax and payment information up-to-date and accurate. It is important to ensure we have the correct information on file to ensure a safe and secure experience for all users across your organization.

One way Housecall Pro checks to make sure your information is correct, is by matching both your Business name and Tax ID number (also known as an EIN) with information on record with the IRS. This information is available on the SS-4 confirmation letter or 147C letter provided by the IRS as part of your business creation.

When we collect Business name and Tax ID

HCP will initially ask for both your Business name and Tax ID / EIN when your business first connects it’s bank account to Housecall Pro for payouts.

After this information is entered, Housecall Pro’s payments partner performs a validation with the IRS to ensure this data is correct. This process may take up to a few days, or as little as a few hours. To make sure your information is secure, Housecall Pro hides your tax information once entered.

If the Business name and Tax ID do not match IRS records, Housecall Pro will request for you to check your tax documents and re-verify the information. You will see a warning when logging into Housecall Pro if your information needs updating, and will be redirected to the update screen below:

Once you re-enter your information correctly, you will get a message verifying that Housecall Pro received your information. If information is still incorrect you will receive another notification to update.

Reasons for re-entering Business name and Tax ID

  • Tax ID or EIN is missing a number, or a number was entered incorrectly.

  • Business name isn’t EXACTLY the same as what’s on file with the IRS.

  • The business name entered is your “Doing business as” (DBA), and not the correct name given to the IRS. For example:

    • Business name to IRS: Charlie’s Air Conditioning Inc.

    • DBA: Charlie’s Air Conditioning

In this case Business name should be Charlie’s Air Conditioning Inc.

  • The business name entered does not include the second line as shown below:

In the case above, the business name needed is both lines “ACME LLC” and “THERESA LOPEZ-FITZGERALD SOLE MBR”

Troubleshooting and getting help

If you’re unsure about your tax information, you can request a Letter 147C by calling the IRS Business & Specialty Tax Line toll free at 1-800-829-4933.
