Introduction to settings at an individual estimate level

Once you configure your Default Estimate Settings, you also have the option to adjust those settings at an individual Estimate level prior to sending them to your customers.

This Estimate Settings or Details page appears after clicking "Send Invoice" on an Estimate page. The adjustable toggles will default to your Default Estimate Settings but from this page you will have the option to adjust those setting to that specific estimate without changing your Default Estimate Settings. This gives you the ability to adjust and fine tune what is visible to your customers prior to sending them the PDF attachment via email/SMS.


Adjust estimate settings on the web portal

From an Estimate Page, click "View & Send". The Estimate Settings appears in preview mode. Make the desired adjustments and click Next to send.

Details section

  • Includes the Estimate number, EstimateDate, and the Message on an estimate. Additionally, the estimate number and date can be also edited from this view. The Default Message on Estimate can also be modified individually within the Estimate Page. The edit pencil icon is located below the Estimate Total.

  • The view format (email or envelope optimized)


Business and customer section

This section will allow you to adjust the default visibility of the main information about your business and your customer details, including your business name or logo, the technician name, your customer display name, and customer company name.
Note: If you have a checked field but there is no data for it then the field will appear blank on the PDF. ie. An unassigned Estimate will not display a Technician Name.

Services and Materials section

With the estimate settings, you are able to have all of the important service and material line items details included in your estimate without the need to make them visible to your customers. For both service and material line items, you can toggle on or off the visibility of:

  • line item name

  • description

  • quantity

  • unit price

  • line items amount

  • line items subtotal

For example, you will have full freedom to include and track the material line items through your estimates, but never share any of the material line item details with your customers. Similarly, you can, for instance, toggle off the visibility of the line items subtotals and only present the total cost to the customer.

Estimate options

If your Estimate includes additional Multiple Options then this section will appear with the ability to send a consolidated Estimate with any selected Options. Additionally, you will be also able to reorder the options by dragging and dropping the option names.


FAQ

Will changing the settings this way change the settings on all my other Estimates?
Ad hoc changes will only affect that specific estimate. They will not be applied to other estimates in your system. In order to apply this setting to all of your Estimates you will need to adjust the Default Estimate Settings.

If I uncheck the Units and Quantity from my Materials Section, will it delete that information?
No, unchecking the toggles simply removes the information from displaying to your customer on the PDF attachment they receive but it does not delete the information from the job itself. That information remains intact for you to reference at the Job Page. Keep in mind, unchecking any line (dollar) items amount to either Services or Materials will still accrue those dollar amounts towards the Invoice Total, even if you hid the individual line item amounts. If you need to list out the Materials but not have the dollar amounts affect your Invoice Total, delete the dollar amount from these items. Your Services and Materials Unit Costs will always remain hidden.

Am I able to change the format or template of the Estimate such as where the logo is placed?
Unfortunately, the placement, size of images and font/spacing of information cannot be moved around on the template at this time. Click here to submit your feedback.


Am I able to save a Default Estimate Setting for a specific customer?
No, at this time you can only set one Default Estimate Setting to apply globally to all Estimates. Click here to submit your feedback.





Adjusting Estimate Settings on Mobile

Each of the settings mentioned above can also be adjusted on the iOS and Android mobile apps. To access the settings on the mobile, tap the “cog“ icon on the estimate preview:



Editing Estimate Message on Mobile

Users with permission to edit invoice messages will be able to edit the Estimate Message on the line items screen. From the Estimate Screen, Select The Pencil Icon under Line Items. Then Scroll to the bottom to see the Estimate Message.
