Mark your estimates as approved or let your customer do it for you!

How can my customer approve their estimate?

There are multiple ways for an estimate to be approved in Housecall Pro. The customer can approve it in person, online or you can manually mark it as approved. You can collect your customer's signature for an estimate approval in person, right on your phone!

If approving the estimate in person on iPhone:

  • Click the 'Approve' button in the top left of the estimate details page.

  • After you click the 'Approve' button a separate bar will pop up with the text 'Approve an estimate'. Click 'Approve an estimate'.

  • On the next screen, have your customer sign the blank box to approve the estimate.


  • Your customer can then use their finger to sign along the signature box

  • Once they sign, click the 'Done Signing' button.

Your customer can access your Terms & Conditions by clicking the blue link below the signature box

  • Once the estimate has been signed, the estimate’s status will change to ‘Approved’

  • To view a customer's signature, click the 'Estimate' (paper airplane) icon at the top of your screen and scroll to the bottom of the Estimate preview page

If the customer declines the estimate in person, you can decline the estimate via mobile. Under the Approve button, you will also see an option to decline the estimate. This will mark the estimate as Pro Declined on both mobile and web.

If approving the estimate in person on Android:

  • From your Android mobile app, click into an Estimate to open the estimate details page.

  • Tap the 'Approve' icon in the upper left corner located beneath the estimate number:


  • Tap 'Approve estimate' in the pop-up located at the bottom of the screen:

  • Your customer can use their finger to sign directly into the signature box on the screen. Then, click the blue rectangular button that reads 'Done signing', or the white rectangular button that reads 'Clear' to re-take your customer's signature.

  • Your customer can access your Terms & Conditions by clicking the blue link beneath the signature box.

  • Once the estimate has been approved, you will be brought back to the estimate details page where you will see the status changed to 'Approved':


Send the estimate via email or text

When using the Mobile App, tap the 'Estimate' button to the right of the 'Approve' button on the estimate detail page.

Once you click the 'Estimate' button you will be presented with a page that outlines the estimate information. If all looks well on that page tap the 'Next' button in the top right.

On the next page, you will have the option to select 'Text' or 'Email'. Choose your preferred method for sending the estimate and tap 'Send' in the upper right.

When the customer decides to Approve or Deny the estimate, you will receive the decision via email.

If the customer approves the estimate, the status will change in your account to reflect 'Customer Approved'. If the customer declines the estimate, the status of the estimate will be updated in your account to 'Customer Declined'.

Once they've made their selection(s), you will be notified via the support email on your company profile.

Manual Approval:

If a customer verbally approves the estimate, you can approve it from the web portal. 

Click on the 'Approval' action button at the top of the Estimate Details Page. You can find the 'Approval' button on the right side of the 'Send' button. After you click 'Approval' select 'Approve Estimate' from the menu that appears. 


You can also decline the estimate on the customer's behalf by clicking the 'Approval' button and selecting 'Decline Estimate'.


Approve a Job on the iPhone

Get approval from your customer before a job starts or after the work is complete (separate from an estimate).

  • Open the invoice details page

  • Tap the 'Approve' icon

  • Select 'Before work starts' OR 'After work is complete'

  • The customer can use their finger to sign in the signature box. Then, click 'Done Signing'

And that's it!

To view the signature on your invoice:

  • Click the 'Invoice' icon

  • Scroll down to the bottom of the invoice to see the signature with the timestamp


Approve a job on Android

  • Select the job you'd like to have approved. Click 'approve' at the top of the screen.

  • Then choose to sign 'before work starts' or 'after work is complete.'

  • The customer can then sign on the line at the bottom.

  • When complete, be sure they click 'done signing' in the bottom right corner.
