Use custom checklists to ensure the right steps are followed on every job

Note: the following features are in beta and not yet available on all accounts. These features are subject to change but if you'd like early access, please submit your information here. During the beta phase, this new functionality is available to early users at no additional cost, but pricing will change in the future.

You may not be at every job with your employees, but you can make sure every job goes as well as it would if you were by leveraging custom checklists.

Be sure to take advantage of the newest improvements to checklists including:

  • Adding notes to each checklist item

  • Uploading photos

  • Marking certain items required rather than the entire checklist

  • Adding sections

  • Downloading/printing to pdf

  • Using single and multi-select fields

Creating and Editing Checklist Templates

You can create and update checklist templates on web by navigating to Settings -> Checklists

Depending on your industry you may already have some default templates in your account that you can customize further by clicking the edit button.

Otherwise, click + Checklist to create a new checklist. You can also duplicate an existing checklist by selecting 'Duplicate' from the more menu to the right of the edit button.

  • Add a name to the checklist (this is the name you and your employees will see when adding and viewing checklists to jobs and estimates)

  • Add sections to organize different checklist items

  • Choose from the following checklist item types:

    • Checkbox

    • Text field

    • Pass/flag/fail

    • Photo upload

    • Single-select

    • Multi-select

  • Mark any checklist items that you want to be completed before the estimate or job can be finished as required

You can enable the setting to auto-add checklists to jobs which will automatically add the checklist to any created jobs. You can also create job templates which checklists can be added to to facilitate auto-adding checklists to different types of jobs. Learn more about job templates.

Note: the checklists on jobs and estimates setting toggle is enabled by default. If you don't want to use checklists you can disable it.

To delete a checklist, select Delete from the more menu to the right of the edit button. This will only prevent the checklist from being used moving forward, it will not delete it from any jobs or estimates it's been previously applied to.

Using and Completing Checklists on Jobs and Estimates

Checklists can be added to jobs and estimates, as well as removed from the web or mobile apps within the checklist card. If they're setup to be auto-added they'll show up within the checklist section of the job after the job is created and saved. Only employees who are able to edit jobs and estimates will be able to add or a remove a checklist.

Once added, the checklist can be viewed and updated by admins, office staff, and field techs assigned to the job or estimate.

Within each section, users can check items off, add text, select field values, and upload photos. Be sure to select 'Save' to save your changes before closing the checklist.

Checklists with required items (as indicated by a red asterisk *) must be completed before the job or estimate can be marked as finished.

Comments can be added to any checklist item for additional context.

Photos uploaded to a checklist will be stored and viewed on the checklist, they will not appear in the attachments section on jobs or estimates.

Printing, Downloading, and Sharing Checklists

To print or download a checklist, select the print or download buttons from the checklist screen.

Checklists can also be shared directly from a mobile device.

If you'd like to send the checklist with the invoice, select it as an attachment from the send invoice page. The checklist will be attached as a pdf to the invoice email.
