Credit Card Surcharging in Housecall Pro

What is credit card surcharging?

Credit card surcharging allows you to add a fee to eligible credit card payments to help offset the cost of accepting credit cards.

When surcharging is turned on, Housecall Pro automatically determines when a surcharge can be applied, calculates the surcharge where supported, and displays surcharge information to customers in supported checkout flows before they pay.

Surcharging rules can vary by card type, location, card-network rules, and payment flow, so it's important to understand how surcharging works and communicate clearly with your customers.

How surcharging works

Please refrain from manually adding a surcharge line item to invoices once you enable surcharging in your invoice settings. With automatic surcharging enabled, Housecall Pro calculates and applies the surcharge for you — adding a manual surcharge on top will result in your customer being charged twice.

When credit card surcharging is turned on, Housecall Pro applies a surcharge to eligible credit card payments accepted through supported payment flows.

If a transaction is not eligible for surcharging, Housecall Pro will not apply the surcharge. This may happen based on the payment method, card type, location, or other surcharge rules.

State-level surcharge rules

Credit card surcharge rules vary by state. Some states prohibit credit card surcharging, while others allow surcharging only if specific requirements are met.

At this time, credit card surcharging in Housecall Pro is not available for businesses located in:

  • Connecticut

  • Maine

  • Massachusetts

  • New York

If your business is located in one of these states, you will not have access to credit card surcharging in Housecall Pro.

Housecall Pro automatically determines whether a surcharge can be applied based on the information available for the transaction. If surcharging is not supported for a transaction, Housecall Pro will not apply the surcharge.

If your business operates in multiple states, surcharging may apply to some transactions but not others. For example, if your business is located in a state where surcharging is supported, but you perform work or accept payment in a location where surcharging is not supported, Housecall Pro may not apply a surcharge to that transaction.

What payment methods are eligible

Surcharges only apply to eligible credit card payments.

Surcharges do not apply to debit cards, prepaid cards, ACH, Klarna, PayPal, cash, check, or other non-credit payment methods.

Turning surcharging on

Surcharging is controlled by a global setting in Housecall Pro. Once turned on, Housecall Pro will apply a surcharge to any eligible credit card payment accepted through supported payment flows. Surcharging is not configured separately by customer, invoice, job, or payment.

To turn on credit card surcharging:

  • Go to Settings in your Housecall Pro account.

  • Select Invoice settings.

  • Find the Credit Card Surcharging setting.

  • Turn the setting on.

  • Review the information shown.

When this setting is turned on, Housecall Pro will automatically determine when a surcharge can be applied. Surcharges will only apply to eligible credit card payments and will not apply to debit cards, prepaid cards, ACH, cash, check, or other non-credit payment methods.

We do not recommend turning surcharging on and off to make one-off exceptions. Keeping the setting consistent helps create a clearer experience for your customers and reduces the chance of confusion.

What your customers will see

In supported customer-facing checkout flows, Housecall Pro will show surcharge information before the customer submits payment.

Customers will be able to see that a surcharge may apply when they choose to pay by credit card. Where applicable, the surcharge will also appear as a separate amount in the payment breakdown, receipt, and final invoice summary.

Customers can avoid the surcharge by choosing a non-credit payment method, such as ACH, debit card, cash, or check, when available.

Communicating surcharges clearly

Housecall Pro helps support compliant surcharge experiences by automatically applying surcharges only where supported and showing surcharge disclosures in supported customer-facing payment flows.

To help support a clear and compliant payment experience, make sure your customers understand when a credit card surcharge may apply. This is especially important for payments taken outside of a customer-facing checkout flow, such as over the phone, in person, or using a saved card.

A good rule of thumb: customers should know a credit card surcharge may apply before their card is charged.

You may want to include surcharge information in places like:

  • Your terms of service displayed on invoices

  • Your website or booking flow

  • In-person or phone payment conversations

  • Customer payment instructions

  • Saved-card authorization language

FAQs

What is a credit card surcharge?

A credit card surcharge is an added fee on eligible credit card payments. It helps offset the cost of accepting credit cards.

When does a surcharge apply?

A surcharge applies when a customer pays with an eligible credit card and the transaction meets applicable surcharge requirements.

Surcharges do not apply to debit cards, prepaid cards, ACH, cash, check, or other non-credit payment methods.

Does Housecall Pro charge a fee for surcharged transactions?

Yes. Housecall Pro assesses a fee of 0.50% on successfully surcharged credit card transactions. This fee only applies when a credit card surcharge is successfully collected.

Will surcharging cover all of my credit card processing fees?

It depends. Surcharging can help offset your credit card processing costs, but it may not cover every fee in every situation.

The amount recovered may vary based on the transaction, card type, applicable surcharge rules, and Housecall Pro’s surcharge pricing.

Can I surcharge debit cards?

No. Surcharging is for eligible credit card payments only. Debit cards and prepaid cards are not surcharged.

Can I surcharge ACH, Klarna, PayPal, cash, or check payments?

No. Surcharging only applies to eligible credit card payments. Other payment methods are not surcharged.

Can customers avoid the surcharge?

Yes. Customers can avoid the surcharge by choosing a non-credit payment method, such as ACH, debit card, cash, or check, when available.

Do I still need to tell customers about the surcharge?

Yes. Housecall Pro shows surcharge information in supported customer-facing checkout flows, but you should still communicate clearly with customers before they pay.

This is especially important when taking payment over the phone, in person, or using a saved card.

What should I say to customers?

You can use language like:

A surcharge may apply if you choose to pay by credit card. You can avoid the surcharge by paying with a non-credit payment method, such as ACH, debit card, cash, or check.

Use language that fits your business and make sure it aligns with the rules that apply to you.

What happens if I refund a customer?

If a payment with a surcharge is refunded, the surcharge should be refunded along with the payment amount. For partial refunds, the surcharge may be refunded proportionally.

Do surcharges get taxed?

Surcharge tax treatment may vary based on the transaction and location. Housecall Pro will apply tax handling where supported, but we recommend consulting your tax or compliance advisor if you have questions about your specific obligations.

What about saved payment methods?

If surcharging is turned on, surcharges will automatically apply to eligible cards on file when they are charged through supported payment flows.

Before charging a saved card, make sure the customer has been clearly informed that a credit card surcharge may apply.

What if surcharging is not allowed for a transaction?

If a transaction is not eligible for surcharging, Housecall Pro will not apply the surcharge. This may happen based on payment method, card type, location, or other surcharge rules.
