Overview
Heading into a basement, a rural service area, or a spot with no service? Offline Mode keeps your job details available when your phone loses its connection.
Your app now downloads your upcoming jobs in the background, so the job is ready before you lose signal. You no longer have to remember to open each job while you still have service.
Before getting started:
Jobs are the only area of the app that can be stored for offline use.
Editing without cell service or a WiFi connection is not supported at this time. Offline Mode is view-only.
Downloaded job info is a snapshot from the time it was downloaded. If your office makes a change after that, you will not see it until your phone reconnects.
Offline Mode is a backup for viewing job details. It is not a full offline copy of your Housecall Pro account.
Which Jobs Download Automatically
Your app looks ahead at your schedule and downloads the jobs you are most likely to need.
Today and the next 2 days. Jobs that start within this 3-day window are downloaded. Jobs starting later are not.
Up to 10 jobs per day. If you have more than 10 jobs on a single day, the app downloads the 10 with the earliest start times. This is 10 per day, not 10 total across the 3 days.
Only jobs assigned to you. If you can see your whole company's schedule, your teammates' jobs still will not download to your device.
Jobs only. Calendar events do not download, even when they appear on your schedule. Appointments do download because an appointment is part of a job.
Jobs need a start date. A job with no start date cannot be placed inside the 3-day window, so it will not download.
📌 Note: Seeing a job on your dashboard under Upcoming Work or Open Work does not mean it downloaded. The 3-day window applies to every job, no matter where it shows up in the app.
Check Your Last Sync or Sync Now
A sync is one download attempt. Your app syncs on its own throughout the day, and you can also run one yourself before you head somewhere with poor coverage.
Step 1: Tap Settings, then Preferences.
The Offline mode row shows Synced and the date of your last successful sync, or No sync date if you have not synced yet.
Step 2: Tap Offline mode.
This screen shows Last synced, the Sync now button, and your Synced Data.
Step 3: Tap Sync now.
The button changes to Syncing now... while the download runs.
When it finishes, you will see either "Data synced" or "Sync failed".
📌 Note: Run Sync now on a strong connection, ideally WiFi, so the download has the best chance of finishing. A failed sync is not retried on its own, so tap Sync now again once you have a good connection.
❗Important: Syncing requires an internet connection. If you have already lost signal, you cannot sync until service comes back. Sync before you head into a low-coverage area, not after.
What Downloads for Each Job
For every job that qualifies, your app saves:
Job details
Appointments
Checklists
Schedule information, when the job has no appointments
For a job with multiple visits or segments, the app prepares the segments that fall inside the same 3-day window.
What You'll See When You're Offline
When your phone has no connection, a banner appears at the top of the app that says You are offline. After a successful sync, the banner may also show your last sync time.
Tap the banner to see a short explanation of what is happening. Tap Learn More to open the Offline mode screen and check your last sync.
From there, open any downloaded job to see its details, appointments, and checklists.
What Is Not Available Offline
Some parts of the app need a live connection and will appear greyed out or unavailable:
Customer history. This is never downloaded. It will be greyed out even when the rest of the job downloaded correctly.
Any job outside the 3-day window, or beyond the 10-job daily limit, unless you opened it yourself while you had service.
Calendar events and other non-job items on your schedule.
Editing anything. Offline Mode is view-only.
📌 Note: Greyed-out customer history does not mean the job failed to download. It is one section that always requires a connection.
FAQs
Do I still need to open each job while I have service?
Not for jobs inside the 3-day window, since those download on their own. For a job further out on your schedule, opening it while you have service is still the way to make it available later.
Why can't I see a job I know is assigned to me?
The most common reasons are that the job starts more than 2 days out, the job has no start date, or you had more than 10 jobs that day, and this one was not in the earliest 10. Jobs assigned to a teammate also will not download to your device.
Why does my banner say "Network unstable" instead of "You are offline"?
“Network unstable” means your phone still has a connection, but it is weak or slow. Your app keeps trying to use that connection instead of switching to downloaded job info. Downloaded jobs are used only when the banner says "You are offline."
Will I see a change my office made after my last sync?
No. Downloaded job info is a snapshot from the time of the download. New changes appear once your phone reconnects.
My sync failed. Did I lose the jobs I already had?
No. Anything that downloaded successfully stays on your device. If one job does not download, the app moves on to the rest.
Do calendar events download for offline use?
No. Only jobs download. Appointments are included because they belong to a job, but calendar events and other non-job schedule items are not.
I can see my whole company's schedule. Do my team's jobs download too?
No. Only jobs assigned to you download to your device, even with company-wide schedule access.
Can I take payment or complete a job while offline?
No. Offline Mode is view-only. You will need a connection to make changes, collect payment, or finish a job.
What happened to opening a job to store it?
That still works, and it is still the way to prepare a job outside the 3-day window. Automatic downloading is an addition, not a replacement. For more on the earlier behavior, see Housecall Pro Mobile FAQ.
