Custom Fields on Jobs
Custom Fields let you capture the exact data your business needs on every job — a gate code, a material preference, a customer classification, or anything else that may live on a sticky note or a spreadsheet today. Instead of typing it differently every time, you set it up once as a structured field, and your whole team fills it in the same way.
This article covers creating and managing custom fields, and using them on jobs from the web portal and the mobile app.
What you can do with Custom Fields
Create structured fields to capture business-specific data on jobs.
Choose from six field types: Text, Number, Date, Yes/No, Dropdown (single-select), and Checklist (multi-select)
Fields show up automatically wherever you create or edit a job, and on the job detail view.
View custom field data as columns in the job list, and include it in CSV exports.
Manage all your custom fields from one place in Settings.
Who can do what
Role | What they can do |
Admins | Create, edit, and delete custom fields in Settings. View and edit custom field values on any job. |
Office Staff | View and edit custom field values on jobs. Can also create, edit, and delete custom fields in Settings if granted the Can Create/Edit Custom Fields permission. |
Field Technicians | View and edit custom field values on jobs, from web or mobile. Can't create, edit, or delete custom field definitions in Settings. |
📌 Note: Custom Fields is a separate feature from Job Fields (Job Type, Business Unit) that offers more flexibility. Both live under Settings, in their own tabs, and you can use them together. See Get Started with Job Fields.
Custom Fields on the Web Portal
Access your Custom Field Settings
To open the Custom Field Settings:
Go to the left sidebar and click Settings.
Click Fields.
Select the Custom Fields tab (separate from the existing Job Fields tab)
Create a Custom Field
To create a Custom Field:
Go to the left sidebar and click Settings.
Click Fields, then select the Custom Fields tab.
Click + Create Field.
Enter a name for the field.
Choose a field type: Text, Number, Date, Yes/No, Dropdown, or Checklist.
If you chose Dropdown or Checklist, add your options — you can add up to 20.
Click Save.
📌 Note: Once you save a field, you can't change its field type later. Double-check your selection before saving — if you need a different type, you'll need to create a new field.
Here's what each field type captures:

Text | Free-form text, up to 255 characters |
Number | Numeric values, up to 10 digits |
Date | A calendar date, selected from a date picker |
Yes/No | A simple yes or no — no custom options |
Dropdown | A single choice from up to 20 options you define |
Checklist | One or more choices from up to 20 options you define |
Edit or Delete a Custom Field
Go to the left sidebar and click Settings.
Click Fields, then select the Custom Fields tab.
Find the field you want to update.
To rename it, add more Dropdown or Checklist options, or turn it on or off, click the field and make your changes.
To remove a field entirely, click Delete and confirm.
📌 Note: Removing an option from a Dropdown or Checklist field permanently clears that value from any job that had it selected — this can't be undone. Deleting a field, on the other hand, removes it from all jobs right away, but Housecall Pro holds onto the data for 90 days in case you need it back (contact support to restore within that window). If you're at your 20-field limit, you may need to delete another field first before a deleted one can be restored.
Fill in Custom Fields on a Job
Go to the left sidebar and click Jobs
Open an existing job, or click Create Job to start a new one.
Scroll to the Custom Fields section — this only appears once one or more custom fields are configured.
Fill in each field.
Save the job.
📌 Note: Custom fields aren't yet supported on job templates or recurring job setups. For now, add values on each job individually.
View and Export Custom Fields in the Job List
Go to the left sidebar and click Jobs.
Use the column settings to turn on the custom field columns you want to see in the list, the same way you enable or disable any other column — no special permission is needed.
Export the list to CSV — custom field columns are included automatically, using each field's name as the column header.
Custom Fields in the Mobile App
View and Edit Custom Fields on a Job
Open the Housecall Pro mobile app.
Go to Jobs and open a job.
Scroll to the Custom Fields section to view or edit values.
Tap Save.
📌 Note: Creating, editing, or deleting custom fields isn't available in the mobile app yet. Manage field configuration from the web portal under Settings > Fields > Custom Fields.
Frequently Asked Questions
What's the difference between Custom Fields and Job Fields?
Job Fields (Job Type, Business Unit) is an existing feature for categorizing jobs with a fixed set of dropdowns. Custom Fields is a newer, more flexible feature — you choose the field type and, for Dropdown or Checklist fields, define your own options. Both live under Settings > Fields, in separate tabs, and you can use them alongside each other.
Can I add custom fields to customer profiles or estimates?
Not yet. This release covers custom fields on jobs only. Support for customer profiles and estimates is planned for a later release.
Will I see a log of changes made to custom field values?
Not yet. Activity feed logging for custom field changes isn't available in this release.
Is there a limit to how many custom fields I can create?
Yes — up to 20 custom fields total for your organization, and up to 20 options for any Dropdown or Checklist field.
What happens to job data if I delete a field or remove an option?
Deleting a field removes it from jobs right away, but Housecall Pro keeps the data for 90 days in case you need it restored — contact support within that window. Removing an option from a Dropdown or Checklist field permanently clears that value from any job that had it selected, and this can't be undone.
