Give your customers a window of time for your arrival to the job

What is an Arrival Window?

The arrival window is the time frame your customers can expect you to arrive for a job or estimate. You can choose to set a default arrival window for all jobs and estimates or set specific arrival windows on a per-job/estimate basis.

The window will begin at the time the job or estimate is entered into the calendar. For example, if a job is set for 12:00 PM and an arrival window of thirty minutes is selected, the arrival window will be from 12:00 PM to 12:30 PM.

If text messaging is set up in your HCP account, the preview of the text notification that your customer will receive will adjust as the window is changed.



Set Your Default Arrival Window (Account Settings)

To set your default arrival window:

  • Navigate to your Account Settings by clicking the gear icon in the top right corner of your HCP account.

  • Select 'Online Booking' > 'Booking Settings' from the menu on the left.

  • Scroll down to the Arrival Window section and click the drop-down menu under "Window length."

  • Select from the following options:

    • None

    • 15 minutes

    • 30 minutes

    • 1 hour

    • 2 hours

    • 3 hours

    • 4 hours

  • And that's it! Once selected, your default arrival window will automatically save and be set for all future jobs and estimates (including jobs booked by customers online and new jobs/estimates created through the system).



Arrival Windows on Specific Jobs or Estimates


Set an Arrival Window When Creating a Job

To set an arrival window when creating a job (Pro Mode enabled):

  • Pro Mode enabled: Click the pencil icon in the Schedule box of the New Job page.

  • Pro Mode disabled: Click the Schedule box (Box 2) on the New Job page.

  • You'll then be taken to the Schedule page.

  • Click the 'arrival window' button at the top of the page.

    • If the arrival window button isn't visible, try clicking the More icon (3 dots) in the top right corner of the calendar, and the "Arrival window" option should be at the top of the drop-down menu.

  • Select your arrival window from the following options:

    • None (this will give the customer an exact time)

    • 30 minutes

    • 1 hour

    • 2 hours

    • 3 hours

    • 4 hours

  • If you want this window to be applied to every scheduled job moving forward, select the 'Set as default' option in the bottom left corner.

  • When you're ready, click 'Done' in the bottom right corner.


Set an Arrival Window When Scheduling an Existing Job

To set an arrival window when scheduling an existing job:

  • Open a job to view the details page.

  • Click the Schedule or Add Appointment button in the action bar at the top of the page. You'll then be directed to the Schedule page.

  • Click the 'arrival window' button at the top of the page.

  • Select your arrival window from the following options:

    • None (this will give the customer an exact time)

    • 30 minutes

    • 1 hour

    • 2 hours

    • 3 hours

    • 4 hours

  • If you want this window to be applied to every scheduled job moving forward, select the 'Set as default' option in the bottom left corner.

  • When you're ready, click 'Done' in the bottom right corner.

  • Once selected, proceed with scheduling the job as normal. When you're ready, click 'Save' in the top right corner of the Schedule page.


Set an Arrival Window When Creating an Estimate

To set an arrival window when creating an estimate:

  • Click the pencil icon in the Schedule box of the New Estimate page. You'll then be directed to the Schedule page.

  • Click the 'arrival window' button at the top of the Schedule page.

  • Select your arrival window from the following options:

    • None (this will give the customer an exact time)

    • 30 minutes

    • 1 hour

    • 2 hours

    • 3 hours

    • 4 hours

  • If you want this window to be applied to every scheduled job moving forward, select the 'Set as default' option in the bottom left corner.

  • When you're ready, click 'Done' in the bottom right corner.

  • Once selected, proceed with scheduling the job as normal. When you're ready, click 'Save' in the top right corner of the Schedule page.


Set an Arrival Window When Scheduling an Existing Estimate

To set an arrival window when scheduling an existing estimate:

  • Open an estimate to view the details page and click the Schedule button in the action bar at the top. You'll then be taken to the Schedule page.

  • Click the 'arrival window' button at the top of the Schedule page.

  • Select your arrival window from the following options:

    • None (this will give the customer an exact time)

    • 30 minutes

    • 1 hour

    • 2 hours

    • 3 hours

    • 4 hours

  • If you want this window to be applied to every scheduled job moving forward, select the 'Set as default' option in the bottom left corner.

  • When you're ready, click 'Done' in the bottom right corner.

  • Once selected, proceed with scheduling the job as normal. When you're ready, click 'Save' in the top right corner of the Schedule page.
