Pre-Demo/Onboarding Preparation

Please have the following information ready at the time of your demo call:

  • Company legal name and DBA (if applicable)

  • Federal Employment Identification Number (FEIN)

  • Names, addresses, email/phone numbers (if applicable), start date, & date of birth of at least 1 employee and/or contractor that you’d like to set up in HCP Payroll system

  • Year to Date Payroll Historical Report (sometimes referred to as a Payroll Journal Report)

    • This should include a breakdown of the following information for each employee and contractor for each pay period in the current calendar year:

      • Employee Names

      • Pay Periods

      • Payday

      • Taxes

      • Deductions

*For 2-day processing: Come prepared with 2 months of bank statements for bank account verification. You can also email these to payrollsecuredocs@housecallpro.com ahead of the call to save time.

2 Ways to Onboarding with HCP’s Payroll System

Assisted Onboarding

Independent Onboarding

Get to book a call and be assisted by our Implementation Specialists all throughout the Onboarding process

Assisted Onboarding

Adding Payroll and booking a call with an Implementation Specialist for Payroll Onboarding:

  • Login to your HCP Account

  • Go to My Money

  • Payroll & Benefits

  • Click on Overview

  • Choose the Payroll Plan you want to onboard with

  • Select “Choose this Plan

  • Select “Talk to our team

  • Schedule a call based on your availability

  • Enter all the necessary information needed on the calendar invite

  • We have your meeting booked! Wait for the scheduled call and meet with your Implementation Specialist!



Independent Onboarding

Adding Payroll and working on Payroll Onboarding independently (unless assistance is needed for Pros switching from previous payroll providers):

  • Login to your HCP Account

  • Go to My Money

  • Payroll & Benefits

  • Click on Overview

  • Choose the Payroll Plan you want to onboard with

  • Select “Choose this Plan

  • Select “Start it yourself

  • Set your first payday goal with HCP

  • Select if you have paid team members for the current year (if yes, you’ll have to schedule a call with an implementation specialist to migrate and import those payroll records to HCP’s payroll system)

  • Select a pay schedule

  • Answer how you currently run payroll (if not “new to running payroll”, you’ll have to schedule a call with an implementation specialist for the data migration for payroll reports)

  • Choose who your company is planning to pay

  • You can now independently onboard your company with HCP’s Payroll (you do have the option on the right side of your screen to schedule a call or start a chat with our implementation specialists if you experience roadblocks or need assistance with data migration)


Switching to HCP from another Payroll Provider (Gusto, ASP, QuickBooks Online, Paychex Flex, CPA, etc.)

Granting Admin Access to Implementation Specialists

Make sure you have with you your Admin Login Credentials for your current payroll provider. You’ll need to grant us an Admin Access to your payroll provider, that way, we can extract reports on behalf of you, hassle free!


Removing or Downgrading Payroll Plan

How to remove or downgrade payroll plan:

When the need arises to transition to a lower-tiered subscription plan for your HCP account, please reach out to the HCP Payroll team directly through the Blue Chat Bubble.

Should you need to cancel your HCP payroll subscription, please inform us accordingly and prepare the responses to the following inquiries.

  • Effective date to cancel service:

  • Address for future correspondence:

  • Reason for cancellation:

  • Do you need us to file Q3/YE/W2 payroll returns or will you be moving over to a new payroll provider who will be filing these on your behalf?

  • Do you need any historical payroll reports of what has been processed with HCP?

  • Do you need to process any more payroll through HCP before your payroll is terminated?
