HCP Payroll Overview

Managing payroll doesn't have to be complicated. With HCP Payroll, you can run payroll directly from the same platform where you manage your business—eliminating the need to switch between multiple apps.

Book an HCP Payroll Demo Call

To book a demo call with one of our Success Advisors, visit our website:

Please have the following information ready at the time of your demo call:

  • Company legal name and DBA (if applicable).

  • Federal Employment Identification Number (FEIN).

  • Names, addresses, email/phone numbers (if applicable), start date, & date of birth of at least 1 employee and/or contractor that you’d like to set up in your HCP Payroll system.

  • Year to Date Payroll Historical Report (sometimes referred to as a Payroll Journal Report).

    • This should include a breakdown of the following information for each employee and contractor for each pay period in the current calendar year:

      • Employee Names

      • Pay Periods

      • Payday

      • Taxes

      • Deductions

The Success Advisor team works closely with enrolled Pros to set you up with payment processing, explore additional features, and plan upgrades. Their mission is to ensure Pros are using all the features available, understand their value, and move up the value curve.

The Success Advisor team works with enrolled Pros to help get them set up with payment processing, additional features, and plan upgrades. Their goal is to help Pros utilize all features available to them, understand the value, and continue to bring Pros up the value curve.



Onboarding with HCP’s Payroll System

At Housecall Pro, we understand that every Pro has unique needs when it comes to getting started. That's why we offer two types of onboarding to ensure a smooth and efficient experience: Assisted Onboarding and Independent Onboarding.

Whether you prefer hands-on support throughout the process or a more self-guided approach, we’ve designed these options to provide flexibility and meet your specific requirements.

Assisted Onboarding

Independent Onboarding

  • Book a call and be assisted by our Implementation Specialists throughout the entire Onboarding process.

  • Work at your own pace independently through the Onboarding process, and ask for assistance when needed.


Book a Call for Assisted Onboarding

Booking a call with an Implementation Specialist for Payroll Onboarding.

To book a call for Assisted Onboarding:

  • Log into your Housecall Pro Account and click on the 'Payroll' tab in the navigation bar at the top of your screen.

    • Depending on the size of your browser window, you may need to click the 'More' tab and then select 'Payroll' from the drop-down.

  • You'll be directed to the Payroll Overview page, where you can review our HCP Payroll plans and features.

  • Click the blue 'Select Plan' button to choose the Payroll plan you'd like to sign up for.

  • Select 'Talk to our team' and click the 'Let's Go!' button to proceed.

  • Select a day on the calendar to schedule your onboarding call based on your availability.

  • Enter your information and any necessary details on the calendar invite and click the blue 'Schedule Event' button.

  • Your meeting is now booked! Wait for the scheduled call and meet with your Implementation Specialist!



Get Started with Independent Onboarding

Adding Payroll and working on Payroll Onboarding independently (unless assistance is needed for Pros switching from previous payroll providers).

To get started with Independent Onboarding:

  • Log into your Housecall Pro Account and click on the 'Payroll' tab in the navigation bar at the top of your screen.

    • Depending on the size of your browser window, you may need to click the 'More' tab and then select 'Payroll' from the drop-down.

  • You'll be directed to the Payroll Overview page, where you can review our HCP Payroll plans and features.

  • Click the blue 'Select Plan' button to choose the Payroll plan you'd like to sign up for.

  • Select 'Start it yourself' and click the 'Let's Go!' button to proceed.

  • Set your first payday goal.

  • Select if you have paid team members for the current year.

    • If yes, you’ll have to schedule a call with an implementation specialist to migrate and import those payroll records to HCP’s payroll system.

  • Select a pay schedule:

    • Weekly

    • Bi-weekly

    • Semi-monthly

    • Monthly

    • Multiple

  • Answer how you currently run payroll.

    • If you're currently using a different payroll service, you’ll have to schedule a call with an implementation specialist for the data migration of your payroll reports.

  • Choose who your company is planning to pay (employees, contractors, or both).

  • You can now independently onboard your company with HCP's Payroll.

🛠️ Pro Tip: You do have the option on the right side of your screen to schedule a call or start a chat with our implementation specialists if you experience roadblocks or need assistance with data migration.


Switching to HCP from another Payroll Provider (Gusto, ADP, QuickBooks Online, Paychex Flex, CPA, etc.)

Granting Admin Access to Implementation Specialists:

Make sure you have your Admin login credentials for your current payroll provider. You’ll need to grant us Admin access so we

can extract reports on your behalf—hassle-free!



How to Downgrade or Cancel Your HCP Payroll Plan

If you need to transition to a lower-tiered subscription plan for your HCP account, please reach out to the HCP Payroll team directly through the Blue Chat Bubble in your Housecall Pro account.

Should you need to cancel your HCP payroll subscription, please inform us accordingly and prepare the responses to the following inquiries:

  • Contact name

  • Business name

  • Effective date to cancel service

  • Address for future correspondence

  • Reason for cancellation

  • Do you need us to file your Q3, year-end, or W-2 payroll returns, or will you be switching to a new payroll provider who will handle these filings on your behalf?

  • Do you need any historical payroll reports of what has been processed with HCP?

  • Do you need to process any more payroll through HCP before your payroll is terminated?
