Learn how to use our Lead Source field

Lead Source Overview

Our Lead Source field allows you to track where your customers found your business without having to use tags.

Lead source tracking enables better reporting so that you can make smart marketing decisions by investing in the sources that bring you good jobs. Leads can be tracked on customers, jobs, and estimates.



Create a Lead Source

To create a lead source:

  • Click the gear icon in the top right corner of your HCP account to access your Account Settings.

  • Select 'Lead sources' from the Settings menu on the left, under the Jobs & Estimates section.

  • Click the + LEAD SOURCE button at the top of the page.

  • Enter the lead source name and click CREATE.

Please Note: We add system lead sources to your list of lead sources by default.

Edit or Delete a Lead Source

To edit or delete a lead source:

  • Click the gear icon in the top right corner of your HCP account to access your Account Settings.

  • Select 'Lead sources' from the Settings menu on the left, under the Jobs & Estimates section.

  • Select a lead source from your list.

Please Note: Pre-set Lead Sources cannot be edited or deleted.

  • To edit the lead source:

    • Edit the lead source name.

    • Click SAVE.

  • To delete the lead source:

    • Click DELETE, and a confirmation window will appear.

    • Click DELETE once more, and the lead source will be removed.

Please Note: Editing the lead source name will change all leads with the current name to the newly changed name. Additionally, deleting a lead source means you will no longer be able to add the lead source to your customers or jobs. All past jobs and customers will still have that lead source associated with it.



Adding Lead Sources

Lead sources can be assigned to customers, jobs, and estimates, allowing you to easily track where each lead originated.

Additionally, you have the flexibility to bulk-add lead sources, streamlining the process and ensuring that your lead data is efficiently categorized across multiple records at once.


Add a Lead Source to a Customer Profile

To add a lead source to a new Customer Profile:

  • When creating a new customer, you will see a field to add a lead source in the bottom right corner of the β€œNotes” section.

To add a lead source to an existing Customer Profile:

  • Open a Customer Profile and ensure that you're on the Profile tab.

  • Scroll down and click the "Lead source" option on the left.

  • Use the Lead source field to select a lead source from your list - and that's it!


Add a Lead Source to a Job or Estimate

  • When creating a new job or estimate, the "Lead source" option is located on the left, toward the bottom of the page.

    • New jobs: the lead source field should be directly above the "Photos/attachments" field.

    • New estimates: the lead source field should be directly below the "Photos/attachments" field.

  • To add a lead source to an existing job or estimate:

    • Open a job/estimate.

    • Scroll down and click the "Lead source" option on the left.

    • Click into the Lead source field and select a lead source from your list.


Bulk Add Lead Sources to Customers

On the Customers tab, you can select multiple customers and bulk-add lead sources to those customers:

  • Navigate to the Customers tab.

  • Select the customers to add a lead source to by using the checkboxes on the left.

  • Click the Bulk Actions button in the top right corner of the page.

  • Select "Add lead source" from the drop-down.

  • Click into the Lead source field and choose a lead source from your list.

  • Click Update and all of the selected customers should now have the updated lead source.


Bulk Add Lead Sources to Jobs & Estimates

On the Jobs & Estimates tab in a customer profile, you can select multiple jobs or estimates and bulk-add lead sources to those jobs or estimates:

  • Navigate to the Customers tab and select a Customer Profile.

  • Toggle to the Estimates or Jobs tabs.

  • Select the jobs or estimates to add a lead source to.

  • Click the Batch lead source icon on the right (you may need to scroll if the icon isn't visible).

  • Choose a lead source from the dropdown.

  • Click Update. All of the selected jobs or estimates should now have the updated lead source.



Auto-Tagging with System Lead Sources

In some scenarios, we will automatically add the lead source if we know where they came from. In these cases, they will be added to a customer, job, and/or estimate. These are known as system lead sources. Here are the current system lead sources:

Please Note: These system lead sources will be added to the list of lead sources by default. These lead sources cannot be deleted because we use them to auto-tag on customers, jobs, and estimates.



Reporting on Lead Sources

You can report on lead sources using the filter functionality on the reporting tab. After applying filters, you will be able to view summary metrics for any lead source(s) and drill into job details to see the lead source for each job.


Jobs & Customers Lead Source Reports

To report on job & customer lead sources:

  • Click 'Reporting' in the top navigation bar of your HCP account.

  • Select 'Jobs' from the menu on the left.

  • To view customer lead source data, select the Customer lead source report under the Customers section.

  • For job lead source data, select the Job lead source report under the Type section.

  • Once in the report, filter as needed and you're all set!


Export Lead Source Reports

To export lead source reports:

  • Click 'Reporting' in the top navigation bar of your HCP account.

  • Select 'Jobs' or 'Estimates' from the menu on the left, depending on the report you need to export.

  • Select the lead source report you'd like to export and filter as needed.

  • Click EXPORT under the chart, on the right side of the page.

  • The report will then be downloaded to your computer.
