There are four different places in Housecall Pro where you can access the calendar:

  • Schedule tab

  • Job page

  • Estimate page

  • Customer Intake flow

Key features of the Housecall Pro Calendar

Accessing the calendar

To access your Housecall Pro calendar, click on the Schedule tab featured in the navigation menu at the top of your Housecall Pro home page or dashboard.

The Schedule tab, located in the navigation menu at the top of your Housecall Pro home page or dashboard, serves the purpose of showing all jobs, estimates and events in one place. It allows you to quickly see and add any unscheduled jobs or estimates to your calendar.

What you'll find on the calendar

  • A slide-out panel with a monthly calendar view for easy navigation to a particular date, and a list of all company employees

  • A list of all unscheduled jobs, including unscheduled jobs made through Online Booking

  • Calendar view selector (you can choose from one of the 6 different views - Schedule, Dispatch, Day, Week, Month, or Monday-Friday)

  • Calendar display settings for jobs, estimates and events

To access the slide-out panel, where you can view the monthly calendar and your list of employees, click the three-line Menu icon located in the top left corner of your calendar page. The panel will slide open on the left side of your screen, with the monthly calendar located at the top of the panel and the list of employees beneath it. To hide the panel, click on the three-line Menu icon again.


By clicking into a date on the monthly calendar, your main, larger calendar will then reflect that date, allowing you to jump right in and schedule a job, or view existing jobs scheduled for that date.

Beneath the monthly calendar and a search bar, you will find your list of company employees. Use the search bar to filter your employee calendars, either by employee name or tag.

The calendar will then update to reflect those changes and only display the calendars of the employees you have selected. When it is correct, just click the same 'Menu' icon to make is disappear.

Alternatively, you may simply select or deselect the names of the employees on the list, to either show or hide jobs, estimates, and events assigned to those employees.

Unscheduled Jobs

To view your Unscheduled Jobs, click the Unscheduled icon located in the top left of the calendar page next to the three-line Menu icon. The Unscheduled icon is represented by a small calendar with an X through it and the number of unscheduled jobs will be visible in a small pink bubble in the corner of the icon.


Once clicked, you will see all unscheduled jobs listed, including any unscheduled jobs made through Online Booking, with the most recently booked job at the top of the list.

To schedule them right from the calendar page, simply drag and drop the unscheduled job onto the schedule. If it is not placed onto the schedule for the correct time, it can be dragged and dropped again according to your preference.

If the customer profile notifications are switched on, a pop-up message will appear asking if you'd like to send the customer their job-scheduled notifications. You can either choose "Don't Notify Customer", or "Notify Customer".

Calendar and map views

There are six different calendar views, plus a map view for you to choose from, allowing you to easily move between views depending on your business needs. To select a preferred calendar view, click on the oval drop-down button to the left of the calendar settings gear icon. What is displayed on the button will depend on what view your calendar is currently set to, which will be one of the following view options: Schedule, Dispatch, Day, Week, Month, or Monday-Friday. Take some time to select the different options to see how the view changes on your calendar.

The calendar can also be viewed by map, which allows you to easily see all your jobs across a period of time plotted onto a map. This can be used to better optimize routes for your technicians and easily schedule jobs based on location.

Select MAP in the calendar settings menu across the top of the schedule page to see jobs, estimates, and events placed on the map for the day, week, or Monday-Friday. All jobs, estimates, and events with an address are visible on the map, and are represented with a blue pin at the visit location.

Clicking on the blue pin takes you to the corresponding job, estimate, or event page. The icon featured on each pin represents the type of visit: the wrench icon represents a job, the clipboard icon represents an estimate and the calendar icon represents an event. Round, blue clusters indicate that there is more than one pin in that location. Clicking on the cluster will zoom in to show you all pins (visits) in that location.

Just like the calendar view, hovering over a pin, or scheduled visit, will pull up a white preview tile containing details of the job, estimate, or event, as set in your display option settings. To customize this information visible on each job, estimate, and event tile, click on the Settings gear icon located in the top right corner of the calendar.

On the day view of the map, routing and travel times in between jobs are displayed. Clicking on the route will take the user to google maps and hovering over the route will display the distance and expected drive time. This is only available when looking at the day view of the map. Routing can be turned off directly from the map by selecting the routing button in the top left corner of the map.

Important notes about routing.

  • Each employee has their own individual route.

  • Each route will be the color of a single employee.

  • If there is more than 1 employee assigned to a job, the color of the pin matches what you will see on the calendar. So there could be cases where the route is a different color than the pin.

  • If you have many employees selected, the employee routes will be prioritized based on the order you have set in the calendar left rail.

  • If there are employees traveling the same route or working in crews, the employee routes will be prioritized based on the order set in the calendar left rail.

Employee Schedule View

The employee schedule view allows you to easily see which jobs are assigned to which employee in one place. This helps to streamline and optimize schedules by clearly displaying employees’ availability side-by-side in the main calendar. With the employee schedule view, you can quickly see open slots in your calendar without switching to the dispatch view. In this view, easily scan your calendar for empty spaces, showing availability across all of your employees’ schedules at once, and feel confident knowing every job is scheduled correctly, with zero double bookings.

Turn on the employee schedule view

In order to set your schedule to display your jobs in the employee view, first navigate to your calendar by clicking Schedule across the top navigation menu on your Housecall Pro homepage or dashboard.

To choose your schedule view, click on the oval drop-down button next to the Calendar settings cogwheel in the top right corner of your HCP calendar. This button will already be set to one of the following views: Schedule, Dispatch, Day, Week, Monday-Friday, and Month, depending on your preferences.

The View by Employee option is not available in the Dispatch or Monday views, therefore you should choose to see your schedule in the Day, Week, or Monday-Friday view by selecting the view you want from the drop-down menu. You will also need to ensure that the check box at the bottom of the drop-down menu for View by employee is also selected.

Additional options

By hovering over a job assigned to multiple employees, all of the job slots in the assigned employees' columns will get slightly darker. This makes it easier to identify which employees are assigned to that particular job.

To change the time of the job for all of the employees assigned, drag and drop the job slots to the applicable position on the calendar.

To swap an employee assigned to the job, click on the job slot assigned to the employee you wish to remove and drag and drop the job to the employee you now wish to be assigned.

Calendar and Job/Estimate/Event Display Options

When you hover your mouse over a job, estimate, or event on the schedule or map, you will see a preview tile showing you information about the customer, job, estimate, or event. To customize the information visible on each job, estimate, and event tile, click on the Settings gear icon located in the top right corner of the calendar. This is located right beneath the main HCP Settings icon, so be aware of which one you select.


After clicking on the calendar's Settings icon, a Calendar Settings window will pop up in the middle of the screen. Here you can search for and select your timezone from the dropdown menu as well as check each field you'd like to add or remove from the job, estimate, and event tile view. Remember, this corresponds with the information you will see when you hover your mouse over each job, estimate and/or event.

Note: You can change your calendar settings to see just business hours or a full-day calendar by selecting the toggle labeled 'Only display business hours' and then clicking 'Done' located at the bottom right of the calendar settings.

Calendar timezone

After you have selected the timezone of your calendar via the Calendar Settings gear icon and drop-down menu, you will notice that the start and end times of jobs and estimates will show adjusted for the timezone selected. For example, a job with a start time of noon Eastern Standard Time will show up as 9 am when the calendar is set to Pacific Standard Time.

When on the calendar, you can right-click on the job, estimate, or event, followed by Open Link in New Tab to open the job details page in a new tab or window. Alternatively, click directly on the job or estimate to open it in the same browser tab.


Reschedule a Job/Estimate/Event from the Calendar View

To reschedule a job, estimate and/or event to a different date or time directly from within the calendar, follow the steps below:

Step 1: Navigate to the main calendar page, located in the navigation menu at the top of your Housecall Pro home page or dashboard.

Step 2: Locate the job, estimate, or event you wish to reschedule. Click on it and hold, while dragging and dropping it to the new date and time on the calendar.

Note: If you need to change the employee that is dispatched, make sure your calendar view is DISPATCH or SCHEDULE.

Step 3: If you are rescheduling a job or estimate, determine whether or not you will notify your customer of the schedule change.

What do the different colors on the calendar mean?

The colors on the schedule are based on employee, zip code, and job status.

Colors on your schedule are a great way to easily organize your calendar based on what's most important to you. When scheduling jobs, colors are a great tool to optimize your schedule based on employee or location. Once the job has started, colors help to easily display the status of the job.

The colors on the schedule are based employee and zip code when the job/estimate status is scheduled. Once the job/estimate begins, coloring reflects the status of the job.

This status is applicable if the value of the line items = $0.

Tile will always be grey.

Color is based on the current view of the calendar, either area or employee. It will always be a lighter variation of the chosen color.


Customizing Employee & Zip/Area Code Colors

Employee colors are based on the users profile. To make updates to the employee's color navigate the employee page within settings.

Zip code colors are set up directly on the calendar page. Navigate to the left rail of the schedule and click the pencil icon next to areas.

Note: Multiple zip codes can be entered at once by using comma separated zip codes. Consider creating your zip code groupings in a spreadsheet and pasting them into the desired area.

Customizing your calendar view

Your calendar can be colored by employee or zip code. Easily update this when viewing your calendar.

FAQ

What do the colors on mobile mean?

  • The colors on mobile are based on employee and then job/estimate status

  • Coloring by zip code is not currently available on mobile

Will my employee see these colors?

  • These are company-wide settings so everyone in the organization will have the same colors available to them.

Public Holidays on the Housecall Pro Calendar

The Public Holidays feature shows the following US public holidays on your calendar:

  • New Year's Day

  • Martin Luther King's Birthday

  • Washington's Birthday

  • Memorial Day

  • Juneteenth

  • Independence Day

  • Labor Day

  • Columbus Day

  • Veterans' Day

  • Thanksgiving

  • Christmas Day

Where can I see public holidays?

Information about public holidays is visually presented on all calendar views. There are two ways that public holidays are shown on a calendar:

  • The name of the public holiday is shown at the top of the column

  • The whole day is greyed out (in an 'outside of business hours' case)

Who can see public holidays?

Each employee with access to the web/browser version of Housecall Pro can see information about public holidays.

Why can't I see the public holidays?

To show or hide public holidays information from the calendar, first click into the Schedule tab in the main navigation menu at the top of your screen in Housecall.

Click on the Settings wheel icon located in the top right corner of the HCP calendar and toggle on, or off, the settings that reads as Display US holidays.

Note: The Public Holidays toggle is available separately per user, as are all other calendar settings.

Is my schedule (calendar) printable?
