How to use customer tags, job tags, and estimate tags effectively

Tags in Housecall Pro can be used as internal identifiers - to help pros distinguish specific job, customer, and estimate details.

You’ll first want to add Tags to your ‘Tag List’ to ensure all employees and staff are using the same Tags. To do this, Navigate to your Settings, scroll down to Tags and click ‘Add Tag.”


Job Tags

Job Tags help to categorize your jobs and can be used to filter and search within your reports. Service, Maintenance, and Installation are all examples of job tags for the type of job being done. Customers will not be able to see the tags.

How to add a Job Tags:

  1. Select the job you would like to tag

  2. Scroll down to Job Tags on the left hand side

  3. Start typing in the tag you would like to apply and the matching results will appear in a drop down

  4. Click on the specific tag you would like to apply to add it to the job

Job Tags and Reporting

Once a Job Tag is assigned in Housecall Pro, you can generate reports tailored to specific project stages or priority levels. This feature allows you to swiftly identify and manage jobs at different stages, ensuring effective workflow tracking and resource prioritization.

How to pull a Report using Job Tags:

  1. Navigate to the Reporting tab

  2. Click on Jobs

  3. Click on Job Tags

  4. Select your filters and add Job Tags


Customer Tags

Tags can also allow Pros to set conditions for specific customer communication actions like email marketing, following up with Leads and Estimates in Pipeline, and excluding customers from review requests.

How to add a Customer Tag:

  1. Click on your Customer list

  2. Search the Customer you’d like to add a tag for

  3. Click into their profile and click on ‘Customer Tag’

  4. Start typing in the Tag you would like to apply and the matching results will appear in a drop down

  5. Click on the specific Tag you would like to apply to add it to the customer

Customer Tags for Email Marketing

Customer tags in Email Marketing offer precise audience targeting. Leverage the 'unless tagged with ______' feature to exclude specific customers from receiving automated emails. Alternatively, utilize the 'if tagged with ______' feature to send automated emails to a select group of customers with designated tags. This applies for both ‘Before Job Starts’ and ‘After Job Finishes’ marketing campaigns.

How to exclude specific customers:

  1. Navigate to Email Automation

  2. Select either ‘Before Job Starts’ and ‘After Job Finishes’ campaign

  3. Add in your Content

  4. Under Rule, select the last checkbox under ‘Options’

  5. Make sure you have ‘Unless’ selected in the drop down

  6. Add the Customer Tag that you would like to not receive this email

How to target specific customers:

  1. Navigate to Email Automation

  2. Select either ‘Before Job Starts’ and ‘After Job Finishes’ campaign

  3. Add in your Content

  4. Under Rule, select the last checkbox under ‘Options’

  5. Make sure you have ‘If’ selected in the drop down

  6. Add the Customer Tag that you would like to receive this email

Customer Tags for Review Requests

In the event that it is inappropriate or counterproductive to request a review from a customer, simply utilize customer tags to selectively exclude certain individuals from the review request process. This approach ensures a targeted and thoughtful feedback collection, aligning with the nuances of each customer relationship.

How to exclude review requests:

  1. Add ‘Don’t Send Review’ to Tag bank in Settings

  2. Add ‘Don’t Send Review’ Tag to customers’ profile before hitting the ‘Finish’ button on a job

  3. Navigate to ‘My Apps’ and then click on ‘Reviews’

  4. Once in the Reviews App, click on the gear icon on the top right corner

  5. Click on ‘Exclude Specific Tags’ from the drop down

  6. Add ‘Don’t Send Review’


Estimate Tags

Housecall Pro's Estimate Tags help streamline your workflow by providing a visual representation of project status, priority, or any custom criteria.

How to add an Estimate Tag:

  1. Select the estimate you would like to tag

  2. Scroll down to Estimate Tags on the left hand side

  3. Start typing in the tag you would like to apply and the matching results will appear in a drop down

  4. Click on the specific tag you would like to apply to add it to the estimate

Estimate Tags and Reporting

When you assign an Estimate Tag in Housecall Pro, you're able to generate reports customized for specific project stages or priority levels. This functionality enables you to quickly identify and manage estimates at various stages, facilitating efficient workflow tracking and resource prioritization.

How to pull a report using Estimate Tags:

  1. Navigate to the Reporting tab

  2. Click on 'Estimates'

  3. Click on 'Open estimates by employee'

  4. Select your filters and add Job Tags

Estimate Tags and Pipeline

Estimate Tags streamline workflows in the Pipeline feature, allowing you to categorize projects and set specific follow-up actions for more personalized outreach. Using Tags in Pipeline Automations ensures timely and tailed communication, enhancing workflows and saving you time. This applies to the 'Leads' and 'Jobs' section in Pipeline as well!

How to search Estimate Tags in Pipeline:

  1. Navigate you Pipeline

  2. Click on 'Estimates'

  3. Select your filters and add Estimate Tag

How use Estimate Tags in Pipeline Automation:

  1. Navigate to Pipeline

  2. Click on 'Automations'

  3. Click on 'Estimates'

  4. Click the pencil icon next to any automation

  5. Click 'Add Condition'

  6. From the drop down select 'are' or 'aren't'

  7. Add your tag
